Office Administrator

Full-time position

As the Office Administrator at Coronation you will be responsible for helping Crown the Good through your hospitality and dedication to making Coronation a comfortable place to work for our team, and a consistently presentable place to welcome our clients. The Office Administrator will facilitate the Coronation work culture, maintain excellent front-of-house correspondence and help make our company a great place to work. From the moment our team enters the building to the time they leave, Coronation should be a pleasant, creative, clean environment.

The Office Administrator will be a cultural touchpoint for our team and clientele. They will schedule a regular docket of social events for staff, outreach events for local creatives and other events geared towards attracting new business.

The Office Administrator will also be responsible for daily secretarial and administrative tasks including the reception of mail, fulfillment of online orders, stocking and maintenance of office supplies and food, working with outside vendors for maintenance, and welcoming clients.

RESPONSIBILITIES

  • Front Desk & Secretarial Duties

    • Be among the first to arrive and last to leave, preparing the office and setting the tone for the day. Unlocking doors in the morning, setting coffee and cleaning at the end of the day.

    • Welcome visitors

    • Answer phone line; screen calls

    • Collect mail every day, receive and allocate deliveries

    • Fulfill online store orders, make bank runs, post office deliveries, and other local errands

    • Manage office calendars and schedule meetings as needed

  • Cleaning & Facilities Maintenance

    • Help create and maintain a daily schedule for office maintenance and cleaning

    • Regularly tidy & stock office common areas including conference rooms, lounge areas and restrooms

    • Regularly clear wastebaskets and recycling

    • Schedule and oversee regular cleaning with outside vendors

    • Be attentive to the needs of the building, schedule and oversee any outside maintenance crews (building, lawn care, snow removal, etc.)

    • Manage office maintenance budget

  • Organization & Supplies

    • Stock and organize office supplies, water cooler tanks, snacks and drinks on a daily basis

    • Maintain supply closets, bathroom supplies and merchandise

  • Event planning

    • Schedule regular office social events

    • Annual dinners and activities

QUALIFICATIONS

  • Secretarial and/or Hospitality Experience

  • Excellent communication, teamwork and interpersonal skills

  • Hospitality oriented and self-driven

  • Deadline, cleanliness and detail-oriented

  • Team player

  • Creative problem solver with the ability to multitask

  • Familiarity with Apple/Mac computers

  • Understanding of Coronation's core markets

  • Must work at our studio in Emmitsburg, MD and be legal to work in the US
